Microsoft Outlook 2007 can increase and decrease the size of the emails font so you can read them more easily. There are two ways of doing it:</p>

<li>Open up the email you want to read</li>
<li>Hold down <strong>CTRL</strong> while turning the scroll wheel on your mouse <strong>Up</strong> to increase font size or scroll <strong>Down</strong> to decrease the font size</li>
<li>Or you can click on <strong>Other Actions </strong>on the <strong>Ribbon</strong> and select <strong>Zoom</strong></li>
<li>This opens up the page size dialog box</li>
<li>You can then Increase or Decrease the email size by a small amount</li>
<li>Click <strong>OK</strong></li>
</ol>

			<content:encoded><![CDATA[<p>When you are charged with sending e-mails for someone else in your office, you may not want the replies to be directed to you. For instance, your boss asks you to send an e-mail to a client after they have requested information about a particular service.</p>

<p>If the client sends chooses to reply to that email asking something which you have no knowledge of, you will then have to forward the e-mail to your boss and start acting as a middle-man in the conversation which could distract you from your other duties. So, to save time and resources, why not have the reply to this e-mail directed to your boss rather than you?</p>
<p> </p>
<p>It is possible and extraordinarily easy to set up. Just follow the steps below to learn how:</p>
<p> </p>
<ul>
<li>Click the <strong>Options</strong> tab and select the <strong>Direct Replies To </strong>option in the<strong> More Options</strong> group.</li>
<li>From the<strong> Dialog box</strong>, set the reply to address for this e-mail.</li>
<li>Click <strong>OK</strong>.</li>
</ul>
<p> </p>
<p>Now you can send the e-mail on behalf of your boss, but the reply will go to your boss, and not you, leaving you free to get on with more important tasks.</p>

In this tip, we will guide you on how you can create your own personal email signature which can be added to the end of each email that you send from Microsoft Outlook.</p>

<p>Having a signature which contains your contact details means that the recipient is more likely to remember your details, especially if you have a healthy backward-forward dialogue going with them through emails. The recipient will also know who they need to talk with and their position within the company, ensuring that they are dealt with by the right person and in the most effective way.</p>

<p>To set up your own custom Microsoft Outlook signature, follow these simple steps:</p>

<li>Select <strong>Tools</strong> &gt; <strong>Options</strong> &gt; <strong>Mail Format</strong> tab.</li>
<li>Click <strong>Signatures</strong> &gt; and go to the <strong>E-mail Signature</strong> tab &gt; <strong>New</strong>.</li>
<li>Type the new signature&#8217;s desired name.</li>
<li>Click <strong>OK</strong>.</li>
<li>Type the desired text of your signature under <strong>Edit signature</strong> (between 5 or 6 lines of text.)</li>
<li>Include the standard signature delimiter: “&#8211; “</li>
<li>You can use the formatting toolbar to format your text, or insert an image in your signature.</li>
<li>Click <strong>OK</strong>.</li>

<p align="left">To organise and add colour to all of your categories, first of all you need to select the ‘Categorize’ icon on the toolbar (highlighted in orange in the picture below)</p>

<p align="left">Then if you select ‘All Categories’ you can rename existing categories or add additional ones if you wish. You can also assign a shortcut to the particular category, meaning that they can be accessed with just one click of the mouse. Here is where you choose which colour you want your category to be.</p>

		<title>Microsoft Outlook Tips &#8211; Transferring Outlook PST files</title>

			<content:encoded><![CDATA[<p align="left">Have you recently upgraded the computers you or your business use to newer machines but run into the roadblock of trying to move over your outlook data onto the new machine?</p>
<p align="left"> </p>
<p align="left">Well no need to worry, there is a way for you to transfer the existing data off of the old machine onto the new machine so you won’t lose anything.</p>
<p align="left"> </p>
<p align="left">To get started, you have to have some form of removable media such as a CD ROM or a USB Memory Stick upon which you can save the PST file itself to transfer to the other machine. Next you need to create a Backup of the PST file.</p>
<p align="left"> </p>
<p align="left">In order to do this, follow these steps:</p>
<p align="left"> </p>
<p align="left">Go to the Start menu and select Control Panel. Once in the Control Panel, double click the User Accounts icon and then do the same on the Mail icon. Then select your profile from the ones displayed and select Properties.</p>
<p align="left"> </p>
<p align="left">Under the Name, click the Personal Folders that you want to backup. If there are no entries named Personal Folders, then you will have to enable the Personal Folders Service.</p>
<p align="left"> </p>
<p align="left">You then click Settings and take note of the file name and path which appears (copy and paste them in notepad or something). Due to the amount of data which is stored in these PST files contain, they can be rather large.  If you would like to compact the size of this file for it to fit in the removable device you are using to move the file, then select the compact now button in the Settings window.</p>
<p align="left"> </p>
<p align="left">Close the other properties windows and then look back at the file path you pasted in notepad and then use Windows Explorer to copy the PST file onto the device you have to put the backup on.</p>
<p align="left"> </p>
<p align="left">Once you have completed this part, the next step is to import the PST file into Outlook on your new machine. To do this, put the CD ROM or USB memory stick you have the backup on into the new machine and open it before copying the PST file and pasting it onto the hard drive of the new computer.</p>
<p align="left"> </p>
<p align="left">Ensure that when you copy the file, ensure the Read Only attribute is not selected otherwise you will receive an error message. If you get the error message then you need to clear the Read Only attribute and then proceed to copy again. Then open up Outlook.</p>
<p align="left"> </p>
<p align="left">Go to the File menu and select Import and Export. Then select Import from another program or file and click Next. Select Personal Folder File and click Next again and then select the file which you have just put on the hard drive.</p>
<p align="left"> </p>
<p align="left">To import everything the file contains, ensure that you select the File itself and not one of the subfolders. Then select Finish and you have done it.</p>

Of course, you can open each message and use copy and paste to assemble them in one document. Well if you copy 12 messages, you will need to do it 12 times!!!</p>

<p>There is a quick way to came to the same result!</p>
<p> </p>
<ol>
<li>Select the messages that you want to save in a file using &lt;Shift&gt; or &lt;Ctrl&gt; keys when necessary</li>
<li>From the Standard Toolbar click on <strong>File</strong> and choose <strong>Save As</strong> option</li>
<li>In the <strong>Save As</strong> dialog box in <strong>File Name</strong> enter a filename you would like to use ; check that the <strong>Save as File</strong> option displays the file type as <strong>Text Only (.txt)</strong> and click on the <strong>Save</strong> button</li>
<li>Using any text editor such as Word open the saved file (for example, right click on the file and choose <strong>Open With</strong> and then <strong>Microsoft Office Word</strong>). If you get <strong>File Conversation</strong> dialog box, click <strong>OK</strong>. You will get the similar result.</li>
